Why I Run My Entire Photography Business on Colara
By Jennie Tewell
Hey, friends! If you've been around here a while, you know I'm a little obsessed with systems. Running a photography business means you're the photographer, the editor, the bookkeeper, the planner, and the person answering emails at 10pm. So the tools behind the scenes matter a lot, and finding the right CRM for wedding photographers was a years-long search for me.
I have tried them all. Over the years I've signed up for just about every CRM, contract tool, and planning app made for photographers. Each one did a piece of the job, but none of them gave me what I actually needed. So I built it myself.
Today every part of my business runs on Colara. After hundreds of wedding days on my feet, I knew exactly what was missing, and I wanted one place that finally had it all.
What the Other Software Was Missing
Even with all those tools, my contracts were in one app. Timelines were in a Google Doc. Family photo lists were in an email thread. Vendor details were in my texts. On a wedding day, that meant digging through five places to find one answer, usually while the ceremony was about to start.
That's a lot of remembering. And when you're juggling that much, things slip.
What Colara Handles for Me
Now it's all in one spot:
- Inquiries and leads. The contact forms on this website feed straight into my Colara pipeline, so I can see every couple from first hello to final gallery.
- Proposals, contracts, and invoices. Clients book, sign, and pay without me chasing anyone down.
- Wedding-day timelines. This is my favorite part. I build the timeline with my couples, and everyone works from the same plan.
- Family photo lists and shot lists. No more scrolling through emails during formals.
- A client portal. My couples can see their whole day and everything we've shared in one place.
Why the Timeline Changes Everything
Every wedding runs on a timeline, but most timelines live in isolation. When the ceremony runs ten minutes late (and it will!), I update it once. Every event after that shifts, and the whole team stays on the same page. No group texts. No outdated printouts. Just a smoother day for my couples, which is the whole point.
Fewer Tools, More Time
Moving everything into one system gave me back hours every week. Hours I get to spend with my family, editing galleries, and actually being present on wedding days instead of hunting for information.
And for everything outside of client work, I use Mindaire to keep my ADHD brain on track.
What to Look For in a CRM for Wedding Photographers
If you're shopping around, here's what I'd put at the top of your list:
- Everything in one place. Inquiries, contracts, invoices, and timelines should live together, so you're never copying details from one app to another.
- Built for the wedding day. Generic business software doesn't understand family formals, vendor lists, or a ceremony running late. Look for a tool designed around the actual day.
- Easy for your couples. Clients should be able to sign, pay, and find their plan without a tutorial.
- Room for the whole team. Planners, florists, and videographers should be able to work from the same timeline you do.
- Automation that still feels personal. Reminders and follow-ups should save you time without making your emails sound like a robot wrote them.
That list is exactly what I built Colara around.
